This is a proposed privacy statement for the board to review, change and approve. It describes the new website as built in this demo, not the club's current site. It is not legal advice.
The short version
- The website sets no cookies of its own, and uses no advertising or tracking tools.
- The contact form sends your message to the club's email inbox. The website itself keeps no copy.
- Court booking, member accounts, club events and registrations are in CourtReserve, the club's booking system.
- The website never takes payments or card details.
- Nobody appears in photos on this site without agreeing, and children only with a parent's consent. Children are never named.

When you browse
The website sets no cookies of its own and keeps no visitor statistics. If the club decides to count visits, it will use a tool that sets no cookies and records nothing that identifies you, and this page will say so.
Cloudflare hosts the website. Like any web host, it handles the technical details every website sees, such as your device's internet address, to deliver the pages and protect the site from attacks. The club doesn't use these details to identify anyone.
The fonts and photos come from this website itself. There are no embedded maps, videos or social media buttons, so other companies don't learn about your visit unless you follow a link to them.
Links to other websites
"Get directions" opens Google Maps. Other links lead to CourtReserve, Facebook and Yelp. Each of those has its own privacy policy, which applies once you're there.
Pages kept on your device
Your browser may keep copies of a few of the website's pages, so they open without a signal, for example from the MITC icon on your home screen. The copies stay on your device; nothing is sent to the club.
When you send a message
The contact form asks for:
- what your message is about;
- your name, and an email address or phone number so the club can reply;
- your message;
- for junior tennis, only your child's age range, not their name;
- if you tick the box, permission to email you about open houses and beginner clinics.
Where it goes
The website passes your message straight to the club's email inbox, using an email service called Resend, and keeps no copy. Messages about joining also go to the club's New Member Coordinator. From launch, a spam check by Cloudflare (Turnstile) may run when you press Send; it isn't part of this demo.
The club's inbox is a Google (Gmail) account. The volunteers who look after it read the messages.
How long it's kept
The club keeps messages only as long as it needs them to answer you. Messages about junior tennis are deleted once they're answered. If you join the club, your details move to your CourtReserve account.
Staying in touch
If you tick "Email me about open houses and beginner clinics", the club adds your name and email address to its CourtReserve account as a "Friend of MITC". You'll get those emails only, and you can ask the club to stop at any time.
The club doesn't sell your details, and doesn't share them outside the club except with the services named on this page that do the work.
Bookings, members and registrations: CourtReserve
Court booking, member accounts, club events, and registration for clinics, junior programs and special events all happen in CourtReserve, in its app or its website. The website's "Book a court" and "Member login" buttons open it. When you use CourtReserve, its own privacy policy applies too.
The club's CourtReserve administrators can see members' accounts and registrations.
Payments
The website never takes payments or stores card details. If the club takes payments online, they'll run through CourtReserve and its payment partner. Paying by check stays possible.
Junior tennis
A parent or guardian registers a child, never the child. The club asks only for what the coach needs: the child's name, age or birth year and level; the parent's name, phone and email; an emergency contact; a yes-or-no question about health ("Is there anything the coach should know? We'll call you"); the parent's signed waiver; and photo consent, which is "no" unless the parent says yes. Coaches see only the lists for their own sessions.
Photos
- Photos on this website show the club's courts and rooms, and adults who have agreed to appear online.
- Children appear only with a parent's recorded photo consent. They are never named, in albums or captions.
- Members' photos are shared with members through CourtReserve, not on this public website. Anyone given an album's link can open it, so the same consent rules apply there.
- To have a photo of you or your child removed, send a message choosing "Removing a photo", or email the club. It comes down within a week.
Your choices, and who to ask
You can ask what the club holds about you, ask it to correct something, or ask it to delete your details. Email monadnockindoortennis@gmail.com, or write to Monadnock Indoor Tennis Club, PO Box 507, Peterborough, NH 03458.
The board reviews this page whenever the club changes the tools it uses.
